Move to Paperless Made Easier…Image API announces a comprehensive set of new software modules designed to improve and automate the capture, identification, and use of digital documents and data in everyday government and business operations. The software suite also introduces exciting new technology for recognizing forms, data on forms, blank pages, and specific form pages with stunning accuracy.

The Software Suite modules are .NET tools that can be implemented entirely to improve all facets of document conversion services or strategically to improve specific components of a paperless operation. The modules provide electronic file/folder/box tracking, high volume scanning performance, manual data entry and automated indexing, quality control, image enhancement, and file output.

The scanning module also reports important measurement data on scan operators, date and time, batch, location, client, document description, and ANSI targets. The data provides valuable information for management purposes and for meeting standards for legal scanning of documents.

The iBrokertm module represents breakthrough technology in process improvement. The module identifies and classifies document types and eliminates the expensive manual work of culling, sorting, or inserting separator sheets. When coupled with the data extraction tools, the suite of software capture module delivers greater speed and accuracy in capturing data from unstructured documents and storing the information in more usable forms.

Image API has been awarded a contract under the Master Contract for digital imaging services by the Texas Council on Competitive Government (CCG). The award prequalifies Image API to provide digital imaging services for State agencies and local entities throughout Texas.

The Master Contract is part of the CCG’s mission to encourage competition, innovation, and creativity in state services and for improving quality and cost-effectiveness. State agencies and local entities, such as school districts and hospital districts, can use the Master Contract to procure digital images services by issuing a Statement of Work to Image API and other vendors on the Master Contract.

The CCG awarded all three digital imaging service categories in the Master Contract to Image API. The three categories allow Image API to provide Project-Based, Flat Rate, and Preservation digital imaging.

“Digital imaging is our core business and we’ve been doing this kind of work for state government for more than 17 years,” said Richard S. Griffith, Jr., president and CEO. “We bring standards-based quality assurance and practices in all imaging projects to our Texas clients.”

Image API is a leading government support company providing a wide range of document imaging and processing services in Texas and throughout the U.S. Image API digital imaging services include on-site at customer locations, off-site at Image API document processing centers, large backfile and day-forward imaging solutions, processing center startup and management, needs assessment/analysis, and image repository hosting. The contract does not cover software and hardware.

The Master Contract runs through August 31, 2012 with the option to renew for up to two (2) additional one-year terms. Contact the Texas State Library and Archives Commission for additional information on using the contract.

Technology and Cost Savings Driving State Agencies to Centralized Processing Services

Image API’s centralized intake processing services offer one of the best opportunities for cutting costs and improving service levels to citizens. Budget deficits are driving agencies to innovative alternatives to traditional solutions and our ability to use technology to automate high volume, low value front-end capture steps across multiple agencies at one time are making it possible, according to Steve Pendleton, vice president, Image API.

Image API intake processing centers focus on collecting, capturing, converting paper documents data to digital format, and outputting the content to each agency’s application for use by the staffs. The centers are designed specifically to support content-intensive activities of multiple state agencies in serving the public. A single, centralized center can handle several state agencies and eliminate the duplication inherent in each agency providing its own processing center.

“Technology has made it possible to consolidate redundant tasks that historically had been duplicated by many different agencies in locations all over the place,” said Pendleton. “A centralized intake processing center like the ones currently in operation in Florida and Texas serve the needs of multiple state agencies—no matter where they are located—and deliver both cost savings and service improvements.”

The centralized model takes its cue from the credit card industry where technology and well-designed processes enable consumers and businesses to perform millions of credit card transactions every day.

Image API intake processing centers are powered by iCenter, one of the most recent .NET enterprise content management systems available for the capture, storage, and retrieval of digital content. Advancements in data transmission, encryption, and web technology enable the fast, secure, and reliable delivery of information from the processing center to each agency’s business system. The centers are professionally designed, staffed, managed, and technically supported to meet all quality, legal, regulatory, and service delivery requirements.

“When you eliminate the duplication in equipment, facilities, and support, these reasons alone are strong enough for implementing a centralized intake processing center, said Pendleton. “Add in the professional management, economy of scale, and the flexibility each agency will have in using centralized services, and the reasons become even more compelling. It just makes great sense.”
